1. Introduction

This Service App Privacy Policy explains how TDMN collects, uses and protects personal information from employees, contractors and authorised personnel who use our internal Service Apps as part of their work.
This policy applies to all TDMN brands globally, including CartR, UK Strollers, sMart Lock, and sMart Track.

This policy is separate from our Customer App privacy policy and is intended specifically for team members and operators.

2. Information We Collect
A. Identification & Contact Information
  • Name
  • Employee/contractor ID
  • Work email, phone number, position
B. Account & Access Information
  • Login identifiers and authentication data
  • Usage logs (time of login, logout, actions taken, errors)
  • Permissions granted in the app
C. Location & Device Information
  • Precise or approximate GPS location when the app is in use
  • Device model, OS version, app version
  • IP address and performance diagnostics
D. Operational & Incident Information
  • Tasks performed, routes, site visits
  • Photos/videos submitted (e.g., damaged carts, maintenance issues)
  • Notes or reports created within the app
  • Incident and safety information

We generally collect this information directly from you during app use. Some data may be cross-referenced with our operational systems (job allocation, site management, maintenance logs).

3. How We Use Your Information

We use the information collected through the Service App to:

  • Assign, manage and verify work tasks
  • Support field operations, maintenance, customer support and safety
  • Confirm site activity and provide service reporting to clients
  • Maintain operational efficiency and system performance
  • Investigate incidents, faults, or safety issues
  • Improve app performance, functionality and reliability
  • Comply with legal and workplace health & safety obligations
  • Prevent fraud, misuse, or unauthorised access

Information may be de-identified and aggregated for analytics and reporting.

4. Location Data

The Service App may require access to location services. We use location data to:

  • Show nearby work locations, bays or trolley positions
  • Verify task completion at the correct site
  • Assist with safety and incident investigations
  • Improve route and workflow efficiency

Disabling location permission may limit some App functionality.

We do not sell or share location data for marketing purposes.

5. When We Share Your Information

We may disclose information to:

  • Internal TDMN teams (operations, support, safety, management)
  • Clients (retailers, airports, centres) where required for service reporting or incident validation
  • Third-party service providers supporting our operations (cloud hosting, IT systems, analytics)
  • Regulators or law enforcement where legally required
  • Insurers and legal advisors where relevant to claims or investigations

We may store information in systems located outside your country. All transfers comply with our global data protection standards.

6. Security & Retention

TDMN uses technical, physical and organisational safeguards to protect your data, including:

  • Security monitoring
  • Data minimisation

We retain information only as long as required for operational, legal or safety purposes, after which it is securely deleted or de-identified.
